Executive Board Meeting Minutes December 12, 2007 Secretary- Debbie Hallanger -No membership meeting this month. Treasurer- Joan Inge -2008 issues to be discussed over winter: gate fee and camping collection was a problem and we need a new solution. Tabled for next year. -Checking, savings, air fence and injured rider balances reported. -Spending reports through today for VPs were handed out to aid them in creating detailed budgets for next year. 1st VP- Laura Carpenter -IMS was a success. There were some complaints about the location, but we had a good visitor and volunteer turn out. We gave out 700 schedule cards, and 1000 posters. We will need to have more posters printed. -A new poster proof will be passed around at the January Executive Board meeting. -There are roughly 76 shirts with 2007 year and schedule left. Proposal to sell the shirts online and at the same discounted rate as they were offered at the IMS. Laura has offered the use of her PayPal account for online transactions. The board members agree to selling them online for $5 and discounted more for multiple items. -A fair number of novices filled out paperwork and left contact information during the IMS. -Suggestion from Laura to have a 2008 limited edition t-shirt and would like an agreement on how many should be created. After discussion, the board agrees that 50 shirts of the limited design would be sufficient. the rest will be undated logo shirts. -New advertising ideas are being put together and will be presented to the board once they are finalized. 2nd VP- Bill Hallanger -Reported cost estimates for rulebooks. A color cover would increase the cost, but we are considering obtaining advertising for the back and inside cover to offset the extra cost. -Sidecar and endurance schedules need to be decided. -Aug 9th will be SOTP vintage days. -There have been discussions on the forum about changing to a one day format for the conflicting day between OMRRA & WMRRA. --Allister and Luke agree that we should not make the change for only a few riders. This will need to be taken to the race director. -Bill calls the Executive Board to convene as the rules committee to vote on new rule proposals to accommodate the new Novice program. --Novice rule change proposals are adopted unanimously. 3rd VP- Ariana Burgess -Reminder that race numbers will be issued after Feb 15th. -Membership packets are being accepted. -We are able to purchase the new version of software for DBComm. The current quote includes the software and technical support. This item is tabled and will be voted on at next Executive Board meeting. -Suggestion from Ariana to have a one time, full membership, mailer go out asking members to indicate their communication preference. This will ask for members needing to be contacted by conventional mail to indicate as such. Registration and membership forms will be also updated to let members indicate mail only communications. Board agrees to the mailing to help clear up membership communication gaps and to lower future postage and printing costs associated with snail mail. -All members with email will be added to official email announce list. The initial email will give instructions for list opt-out if desired. President- Allister MacKinnon -The airfence committee will report progress early next year. -The editor at Roadracing World needs an official schedule from us to post. -Round 8 medals are being created for corrections from last year. -2007 expense totals were handed out, board members are asked to use these numbers to create budgets for the 2008 season to be presented at next month's Executive Board meeting. Novice Rep- Nico Tomacelli -The Sullivan School is onboard, along with 2Fast, for the Novice on-track portion. There will need to be new curriculum created. -We currently have 10-12 novices signed up for next season. -Novice program has changed. Please refer to the novice webpage or contact your novice rep for the new format. -Completion for new Novice curriculum is targeted for February Executive Board meeting for approval. Supersport Rep- Ross Delong -Not present Superbike Rep- Brad Gua -No report Vintage Rep- Duncan Craick -Need to chose SOTP dates. Proposal for Aug 9th vintage days, SOTP. The board votes unanimously to accept this date, and it will be added to the calendar and posters. Good of WMRRA -There will be a new "official announcement" header on the forum. -We will change the signature requirements to obtain AMA licenses to only accept the president's signature.
