Default 2013 Refund Policy and Fees

Due to the new registration system, we had to make some changes on the fly to handle refunds and fees. This is actually good news. The system will allow us to do credits to your racer account which I know a few were pushing for.

    So in a nutshell:

In 2013 we are charging people on Fridays after the close of pre-entry (noon on Friday before the event). This is to avoid the lack of nonpayment that we have seen in recent years and to adopt a "pay before you play system". Accordingly, we have obtained the ability to provide a credit which will be given automatically instead of making you fill out a refund form for races not ran or for a no show. If you want an actual refund, you will have to fill out the paperwork per the requirements below.

So if you pre-register and are a no show for the weekend or all your classes, your card will get charged on Friday for what you registered for and then if you don't pick up your paperwork, we will remove you from the grid and give you a credit for the entire amount less a $10 registration processing fee. We have to charge something, since what ever you pre-register for we are charged by Track Intel for since you used their system. I don't like that they do that, but I understand why they do it. So for $10 this gives the option to not show up at all and get a credit to use for the rest of the Calendar year. If you know you are not going to be at the event, please undo your registration prior to the close of pre-entry at noon on Friday, to help save the club money. The other scenarios of refunds are discussed below.

You will not get charged a registration processing fee if you pre-register and just add/drop some classes. Just be conscience that we get charged for the classes you do register for, so don't register for seven classes and race just 1 or 2.

Here is the official policy for this weekend and going forward on how we propose it to work and will supersede the rulebook policy.
    Section 5. Fees for 2013:
    a. Season license and membership (Includes WMRRA competition event gate fees for the license holder) $175.00
    b. Annual WMRRA membership $30.00. Volunteers (racers are exempt) that work three consecutive race weekends will have their fees waived.
    c. Single-event license $30.00 for clubs other than (OMRRA and WMRC). Must have a current active license.
    d. Registration processing fee $10.00
    e. Practice fee $50
    e. Post registration fee $30.00

    Section 15. Refund policy.
    a. Riders will automatically be provided a credit, less the registration processing fee, for races pre-entered and non-appearance at the event. (less $10 fee pre-entry or $40 fee post-entry)
    b. If a rider is processed at registration, but does not practice or race, a full credit except for the registration processing fee and any post entry fees. (less $10 fee pre-entry or $40 fee post-entry)
    c. If the machine(s) is entered in one or more classes and is ridden in practice but not in a race: the registration processing fee, practice fee, medic one fee, airfence fee, and post-entry fees (if applicable) will apply. (Less $80 fee pre-entry or $110 fee post-entry)
    d. If the machine(s) is entered in more than one class and is ridden in a race: A credit will be provided for the classes not ridden. (No Charge)
    e. If an actual refund of money is wanted for any particular event, riders must complete a refund form and submit it within 30 days following the event.
    f. All credits will expire at the end of the Calendar year and riders may request a refund of the remaining balance by November 30 of that year.
    g. Refunds for canceled heats or reduced laps in a heat are not offered unless specifically authorized by the Executive Board.
    h. The Medic One fee AND the mandatory airfence fee are both non-refundable.

Thank you and post up in a separate forum thread for comments.

    See you soon!

    Neil
